Downingtown High School West Campus
Saturday, September 24, 2011

CALL TO ORDER
The meeting was called to order by President Rose Ciarlone at 9:00 a.m.

 ATTENDANCE
The following persons were in attendance:

1.    Minutes:

The May 2011 minutes were not available for approval.  They will be reviewed and approved at the October meeting.  Donna Kneisly took minutes in Karla’s absence.

2.    Treasurer’s Report: - Mark Kenworthey was not in attendance but sent the report:

• The General Fund = $3215.00
• The Scholarship Fund = $4,681.00
•  The Money Market Fund = $94,381.00

3.    Secretary’s Report – Karla Johnson was not in attendance – no report

4.    Committee Reports:

·        Homecoming –

West: 

·         Rose will help on the night of homecoming

·         The Athletic Department will rope off of the area in the stadium

·         Blake Owens is coming back to crown the queen

·         The crown has been donated by Bove Jewelry

·         Rose has purchased the gifts from Kohl’s

·         The flowers will be ordered by Bud & Bloom in Downingtown

East

·         There were only 12 applicants.  It was approved that the Court would have 12 vs. 10.  Rose will purchase 2 more gifts.

·         Donna will contact George regarding using the STEM Academy as the gathering place for the Court on the night of Homecoming.  If the STEM Academy cannot be used, the Court will meet in the lobby of West Gym.

·        Homecoming Parade –

·         Bill Mason has the permits for the parade (which will step off at 6:30)

·         Bill needs 4 people to help.  Jim Flanagan will help.  We need to find 3 more

·         Rose is arranging for the “antique” cars for the parade – Donna will check to see which of the West administrators are participating.  Cars can be found for the administrators

·         Spirit groups will be lined up seniors, juniors, sophomores, freshman, spirit groups

·        Halloween Parade –

·         It was decided that we would NOT participate in the Halloween Parade this year – it is the same day as the East Homecoming dance and it is not likely that would get any participation from the students at East.

·        Christmas Parade –

·         It was decided that we would NOT participate in the Christmas Parade. For the past couple of years, the alumni and chaperones were the only ones who decorated the truck.  Only 4 students from West participated last year.  There were none from East. 

·        East/West Game –

·         Presentation of the trophy (work with Jack Helm – call Robin)

·         Rose will call Robin and talk to Jack

·        Website –

·         Daryl was not in attendance – no report

·         It was suggested that a student might want to work on a graduation project and work with the website.

·         Donna will also contact Mary Beth Tomlinson at the STEM Academy for possible student work

·         It has been a while since the website was updated – information regarding the reunion for the class of 1971 was forwarded for updating to the site and was not posted.  A meeting will be scheduled to discuss the process and timeliness of uploading information to the website.  It is important that information is posted and updated immediately. 

·         Questions for discussion to the website committee:  Has the Paypal account been switched from the original to the Alumni Association account?  How much income has been received from the website?

·         Updated reports regarding the website are needed ASAP. 

·        Banquet –

·         Ginny Pierce has resigned as the chairperson for the banquet.  The Association is looking for a new chairperson

·         Alternative dates and times were discussed as well as alternative locations.

·         The invitations were discussed. E-mail invitations vs. hard copy.  It was decided that e-mail would be sent and hard copy to those who have always received hard copy and do not have e-mail addresses.  Invitations would also be posted on Facebook. 

·        Room Reservations –

·         Donna will reserve the classroom at West for the October, November & December meetings.

·         There will be discussion at future meetings regarding the days and times of the meetings.  Many alumni have suggested an evening rather than Saturday morning.

·        Fundraisers –

·         How much money are we making from website?

·        Office personnel –

·         Bob Pierce has been working in the office.

·         Austin Windle has volunteered to help.  He said that he has volunteered several times before but no one has ever called him, even though he was told that he would receive a call.  Rose promised that he would receive a call as soon as she has a chance to find out what needs to be done there.

·        Realignment of structure –

·         More information will be discussed at the next meeting.

5.    Other Business:

We received a thank you note from Debbie & Jim Garvey for the gift and plaque that the association presented to them at the banquet.

6.    Adjournment

On a motion by Donna Kneisly, seconded by Madeline Woodruff, the meeting was adjourned.

The next meeting will be held Saturday, October 15, 2011 at DHSW.
