Meeting Minutes

Downingtown High School West Campus
Saturday, October 15, 2011

CALL TO ORDER
The meeting was called to order by President Rose Ciarlone at 9:05 a.m.

Treasurer’s Report:

Minutes:

·         The May and September 2011 minutes were approved on a motion from Mark Kenworthey and was seconded by Bill Mason

Secretary’s Report:

• The President’s letter was posted on Facebook.  Also, meeting updates were posted on Facebook and LinkedIn.

Website Committee Report: 

·         Mark will contact Darryl to get logon and password information for the website and will coordinate the transfer of the PayPal account to the Alumni Association.  There is approximately $500 in the PayPal account. 

I.       STUDENT UPDATES

·         Invitations to attend the Alumni Association meetings will be sent to the Senior Class Presidents and Vice Presidents of Downingtown East and West.  No updates were available for activities at either school. 

II.      BUSINESS

·         Alumni Association Business Office

·         Rose will meet with Bob Pierce to learn how the office is run and expects to work 1 – 2 days per week volunteering at the site. 

·         The office is open 5 days a week, Monday through Friday, and the office hours are 8AM – 6PM. 

III.     COMMITTEE REPORTS

·         Banquet Committee

·               Rose gave a brief description of the banquet and the requirements for the chairperson. 

·                    Caryn Menna volunteered to Chair and Fran Shaw will Co-Chair the AA Banquet which will be held in April 2012.  Rose, Donna and Nancy volunteered to be committee members. 

IV.    NEW BUSINESS

·         The AA will set up a booth at the sporting events at Downingtown East and West to sign up new members and distribute information regarding the Alumni Association.  The Battle of the Brandywine has been chosen as the first event. 

·         Rose gave the concept of the Battle of the Brandywine for the new members.  She explained that going forward the AA would like to create a healthy competition between the schools the week prior to the big game.  This could include competitions between the students and principals at both schools.  We also envision getting the community involved in the competition and rivalry.  Robin suggested next year hiring ‘George Washington’ to appear and tell the story of the real Battle of the Brandywine. 

·         The trophy, which is awarded each year to the winning team from either Downingtown East or Downingtown West, was the brain child of Robin and is named in honor of Herbie Lee, an outstanding alumnus of Downingtown High School. 

·         Rose will provide the table, balloons, and banner.  She will also arrange to have pamphlets made up for distribution. 

·         A discussion regarding the AA’s structural realignment was reviewed.  This included new committee chair persons, fundraising activities and utilizing email and other social networking sites (such as Facebook) to advertise AA events for free.

V.       ADJOURNMENT

·         On a motion by Mark Kenworthey, seconded by Donna Kneisly, the meeting was adjourned at 10:30 a.m.

·         The next meeting will be held Saturday, November 18, 2011 at DHSW.
